Suzaku Proposals

Suzaku AO-1 Phase-2 (budget)

Essentials

PROPOSAL DEADLINE: 2006, Monday June 26 16:30 EST

UMBC PAPERWORK DEADLINE: 2006 June 19 13:00 EST

  • Instructions at GSFC.

    Also see see their Notes on Proposals and Planning Tools where it is noted Investigators with priority C targets or targets-of-opportunities (TOOs) are also invited to submit a Stage 2 proposal by the June 26, 2006, deadline. Even though these observations may or may not be carried out, the stage 2 proposals for C targets and TOOs will be reviewed alongside those for A and B targets.


Specifics

The following steps should be completed as early as possible to avoid the last-minute panics.. Some details are valid for this AO only....

NSPIRES-stuff

  • NONE: since the science proposals were not submitted via NSPIRES, the budgets couldn't be done in NSPIRES either. Instead, you will find you need to join the AKBAR system to use RPS to submit your Suzaku budget (see below)

RPS/AKBAR-stuff

  • Join the AKBAR database (If not already a member)
    • tick the Suzaku Budget RPS box and then fill out your email address to sent an "invitation" to join AKBAR.
    • Cut/paste the URL in the invitation to get a form where you can enter your details and become an AKBAR user.

    If you are already an AKBAR user (from the XMM budget round) then log in to AKBAR.
  • Log into AKBAR
  • click on the My AKBAR link, and then the "join or leave open AKBAR groups" link, and then join the Suzaku group

    Then you can "submit a new proposal", this link brings up the usual RPS cover and budget pages to fill out online, saving and verifying as usual.

Complete the RPS Forms as follows:

  • Cover Form
  • enter standard details
  • The 5-digit Suzaku proposal number must be included in the Cover page.

  • should put JCA as the Department
  • should select University of Maryland (Baltimore County) from the pull-down institution menu
  • can list their GSFC telephone & Fax numbers
  • General Form

    and for the numbers...
    • use 30% fringe benefits
    • use 31.2K salary+fringe for Grad. students (new Dept. rules)
    • ask me if you have questions of what items can be charged through the JCA
    • use 30% Overhead (F+A) on total
    • Note a requirement to itemize equipment over $500
  • Verify, and print (e.g. using the "postscript" button to make a .ps version) & sign forms BUT DO NOT SUBMIT YET
    • (these are part of the package you will need to send to Ian prior to the above UMBC Paperwork deadline, and which he will pass onto OSP for the institutional signatures....See below)
  • AGAIN - DO NOT SUBMIT the RPS forms until you receive an OK from UMBC!

    Other NASA-stuff
    You also need...

    • a written budget justification
    • a "Current/pending Grant Summary"
      • there is an official template form for this here
    • DO NOT ATTACH THE ORIGINAL SCIENCE PROPOSAL

    JCA/UMBC-stuff
    Prior to the above UMBC Paperwork deadline, you need to send Ian the following for review:

    • Your signed RPS/AKBAR forms
    • Your written budget justification
    • Your "Current/pending Grant Summary"
    • A completed OSP Routing Form For Q-3:

  • Ultimately one needs to submit the RPS electronics forms, and make 10 hardcopies of the set of RPS forms, plus budget justification plus Current \& Pending forms (plus other optional forms, as required, see GOF guidelines).

    To conserve paper, proposals should be printed double-sided. Ten (10) hard copies of the budget proposal are due at the following not later than 4:30pm EDT on 26 June 2006 to Suzaku Cycle 1 Stage 2 Proposals, Bldg 2, Rm 250, Code 662, NASA/Goddard Space Flight Center, Greenbelt, MD 20771

    Specifics

    The following steps should be completed as early as possible to avoid the last-minute panics.. The following details are valid for this AO only....

    NSPIRES-stuff

    • Since there is not budget involved, NSPIRES submission can be done with electronic submission (by OSP) once the PI clicks the "release to ORG" button on the NSPIRES proposal.
      • i.e. You do NOT have to pick up a signed NSPIRES Cover Sheet from OSP
      • Suggestion:
        In "Business Data", use:
        Start Date: 2006 April, End Date 2008 May
        (Can be revised later if successful)
    • OSP will require a completed Proposal Routing form in order to submit the NSPIRES proposal (below).
    JCA/UMBC-stuff
    • OSP Proposal Routing form only requires PI & JCA Director's signature. Thus fill in the form, sign it, and get it to the JCA Director as soon as possible. [Faxing to 1-410-455-1072 is OK]. Attach a copy of the Scientific case (or a "good" draft) if possible.

    Check List

    Before 2006 Jan 04 (sooner the better)
    • Dream up Title and Abstract
    • Create proposal in NSPIRES
      • (see suggestions above)
      Note You do NOT have to upload the science case to generate the required NSPIRES Cover Sheets - thus you can do this part well ahead of the deadline.
    • Fill in a UMBC OSP Proposal Routing form (Word format), Sign a hardcopy and get it to Rose (or replacement) as soon as possible.
      Note You Can (& should) do this well ahead of the deadline, since it only needs a Title.
    Before 2006 Jan 06
    • Write Science Case
    • Fill in RPS forms
    • Submit the "real" proposal via the RPS system.
    • Save a PS/pdf copy of the RPS Forms for the proposal
    Soon after 2006 Jan 06
    • E-mail the JCA Director a copy of the saved RPS proposal forms (I need these for JCA-wide statistical purposes)
